How much does RunPractice cost?
Three tiers. Starter at $1,400/mo, Growth at $3,200/mo, Full Stack at $4,800/mo. Each has a one-time setup fee ($4,500–$8,500). Annual billing saves 15%. Every module is also available a la carte. See full pricing.
What's the minimum commitment?
All plans require a 3-month minimum retainer. SEO and content need time to index. AI phone and automations need time to calibrate. After 3 months, you continue month-to-month or switch tiers. No long-term lock-in.
Can I start with one module and add more later?
Yes. Every module is available a la carte. Most practices start with Starter and add the AI Phone Receptionist once they see the first results. Bundle pricing applies when you combine two or more services.
Is there a setup fee?
Yes. Starter: $4,500. Growth: $6,500. Full Stack: $8,500. This covers our in-person clinic visit, Brain document build, system deployment, and initial content creation. It's a one-time investment — not recurring.

How long does setup take?
Starter and Growth tiers typically go live within 3–4 weeks. Full Stack implementation takes 4–6 weeks depending on your existing systems and EHR integrations. We handle everything — you just show up for two onboarding calls.
Do you really visit the clinic in person?
Yes. Every engagement starts with a physical clinic visit. We walk every room, watch how your front desk handles calls, see where patients sit and wait, and identify exactly where friction lives in your workflow. Most agencies build from a brief. We build from observation. See our full process.
How much of my time does this require?
Minimal. Two onboarding calls (30 minutes each). One clinic visit where we observe — you just practice medicine. After that, you approve content in 30 seconds via a simple portal. No line-by-line email chains. Tap approve. Done.
What is "The Brain"?
The Brain is the central knowledge system we build before anything goes live. It contains every service, communication rule, and voice guideline for your practice. This is what ensures your AI phone agent, emails, blog posts, and social media all sound like the same practice — not a generic template.
Will you integrate with my existing EHR/EMR?
We integrate with most major EHR systems for scheduling, patient intake, and data flow. During onboarding, we map your existing tech stack and build the connections. If your EHR doesn't support direct integration, we build workarounds that maintain full automation.

Is this HIPAA compliant?

Do you sign a BAA?
Yes. A Business Associate Agreement is standard with every RunPractice engagement. We sign it before any patient data enters our systems. No exceptions.
How is patient data stored and protected?
All data is encrypted at rest and in transit. We use HIPAA-compliant infrastructure across every layer — phone recordings, email communications, in-clinic data, and analytics. Access is role-based and audited. We do not sell, share, or use patient data for any purpose outside your practice's operations.
Are AI phone calls recorded?
Yes, with proper disclosure. All AI phone interactions are recorded for quality assurance and compliance. Callers are informed at the start of each call. Recordings are stored on HIPAA-compliant infrastructure and accessible only to authorized personnel.

A 24/7 AI voice agent answers your practice's phone line. It books appointments, reschedules, cancels, answers common questions, and routes urgent calls — all trained on your Brain document so it sounds like your practice. No hold music. No missed calls. No human needed.
What does "AI avatar social media" mean?
We create an AI-generated video avatar trained on your brand voice and visual identity. Scripts are written, videos produced, captions added, and posts scheduled — all automatically. You can also choose real videographer content instead. Either way, you approve everything with a single tap.
How quickly will I see results?
AI phone and lead capture show results immediately — captured leads, booked appointments, reduced missed calls. SEO and content take 60–90 days to gain meaningful traction. That's why we require a 3-month minimum. By month 3, the full system is compounding.
What metrics do you report on?
Booked appointments. No-show rate. Cost per acquisition. Patient lifetime value. Staff hours saved. We do not report on impressions, reach, engagement rates, or any vanity metric that doesn't connect to revenue or operations.
Do you handle Google Ads / PPC?
Google PPC is available as an add-on, not included in the standard tiers. We build targeted campaigns for high-intent patients actively searching for care in your area. Every dollar is tracked to booked appointments — not impressions or clicks.

Do I own my website, content, and data?
Yes. All creative assets, website files, content, patient data, and contact lists belong to you. If you ever leave, everything transfers. We don't hold your practice hostage.
What happens if I cancel?
After the 3-month minimum, you can cancel with 30 days' notice. We transfer all assets — website files, content, contact lists, Brain document, phone number — to you or your next provider. Clean handoff. No hostage negotiations.
Can I switch tiers mid-contract?
Yes. You can upgrade at any time — the new rate starts on your next billing cycle. Downgrades take effect after your current commitment period ends.
Who owns the AI phone number?
You do. The phone number is registered to your practice. If you leave, it transfers with you. Same goes for every digital asset we create on your behalf.
